Key responsibilities for this role:

  • Scoping, recruiting and management of match day staff (both paid and volunteer);
  • To continually challenge and refine current planning and operational procedures in order to operate more efficiently and effectively in delivering events and managing operations
  • Work with the Manager, Events & Operations to achieve and maintain productive, progressive and harmonious relationships with key stakeholders
  • Develop, produce and refine RA Rugby Services policies and procedures for review and implementation.  This includes event/tournament manuals outlining logistical, administrative and operational requirements;
  • Assist with the preparation, reporting and management of event operations expenditure and event budgets
  • To assist in the management of match day operations and ensure detailed match day planning is successfully executed
  • Event planning including the development and management of key match day tools including event plans, run sheets, venue delivery schedule, accreditation, satellite catering, fixtures fitting and equipment documents, ticketing and others
  • Assist in the confirmation of venue service requirements such as catering, spectator services and venue security and work with venue operators to ensure delivery
  • Assist in the management of key service providers and event partners as they relate to Operations (signage, sports presentation, broadcasters)
  • Facilitate internal and external event planning meetings and maintain actions and issues register
  • To capture, source and deliver all operational requirements through liaison between RA departments, venue operators, and external contractors
  • Have a broad knowledge of all match venues including the day to day operations, key personnel, policies and procedures
  • Finalise venue service requirements such as catering, spectator services, venue security, master delivery schedule, precinct activations, operational parking etc and work with venue operators to ensure delivery
  • Develop and implement operational policies and procedures as applicable
  • The role and responsibilities of the position will evolve and candidates will be required to exhibit flexibility and a team focused attitude

To be successful, you will need to have:

  • Appropriate tertiary degree or relevant experience
  • Ability to take a strategic view on planning and delivery, whilst at the same time, exhibiting a strong attention to detail;
  • A demonstrated ability to manage multiple tasks in a pressure environment and prioritise them accordingly;
  • Strong communication (verbal and written) and relationship management skills;
  • Strong project management discipline;
  • An ability to think clearly, remain calm under pressure, and be able to demonstrate conflict resolution skills;
  • High level of knowledge of rugby at an operational level;
  • An extensive knowledge of and an ability to utilise Microsoft applications;
  • Demonstrable success in event management and operations for a sporting organisation
  • Disciplined Budget management with previous experience in managing a financial budget
  • Previous people management experience with a demonstrated ability to maintain relationships with a diverse group of stakeholders – i.e. marketing, venue & ticketing operators, state unions

Note: Due to the project nature of event delivery, flexibility of work hours will be required to ensure deadlines are met. Additionally, the actual delivery of events often involves significant work during non-business hours. Candidates must be willing to undertake national travel in the execution of their role.
