THE ROLE
The Brisbane Metropolitan Touch Association (BMTA) is the largest touch football affiliate in the country, with over 12,000 people playing each year at our home, Whites Hill Reserve in Camp Hill.
Working 28 hours per week, the Programs & Events Coordinator is a new role that will bring a high level of professionalism and organisation to ensure our many programs and events are well supported, creating an amazing experience for our participants.
DUTIES AND RESPONSIBILITIES
Oversee the planning, operations and review of BMTA’s non-competition programs and events.
Mustangs
- The Mustangs is BMTA’s representative touch football program, offering both junior and senior players the opportunity to experience higher level and carnival-based touch.
- Organise travel, food and accommodation (where required) for players, staff and referees for carnivals
- Set the timelines and schedules for the junior & senior Mustangs programs to ensure key deadlines are met
- Oversee the ordering, delivery and logistics of uniform ordering, including liaising with suppliers and participants
- In conjunction with the Mustangs Coaching Directors, oversee the coach and manager appointment process
- Plan selection trials and Muster days in conjunction with coaching staff
- Ensure all Queensland Touch Football/event organiser timelines and requirements are adhered to
- Ensure all coaches and volunteers meet Blue Card & coaching accreditation requirements
- General communication with the coaches, players, parents and wider BMTA membership to create a quality user experience
Major Events
BMTA hosts several major events at Whites Hill Reserve each year, including the 2020 World All Schools and Queensland State School Touch Championships.
- Liaise with event delivers to ensure smooth event delivery
- Hire equipment and oversee bump-in and bump-out to ensure the facility meets our obligations with the event deliverers
- Ensure compliance with all Brisbane City Council lease and permit obligations
- Liaise with food and promotional vendors where required
- In conjunction with the General Manager, oversee casual staff and volunteer appointments to ensure smooth event delivery
Holiday Camps
BMTA runs school holiday camps to develop the skills and provide an enjoyable for our school aged participants
- Use a variety of methods including social media, public advertising and EDM’s to promote the program and maximise attendance
- Ensure all giveaways and player packs are ordered and delivered in the appropriate timeframes
- Organise the coaches and schedule for the camp are set, and communicated to those delivering the program
General
- In conjunction with the General Manager, set and ensure adherence to the allocated budgets for each program or event
- Build the profile of BMTA in the local community through the introduction of new events focussed on both touch football and non-touch football initiatives
- Oversee the introduction of the new ‘Tiny Touchies’ skills program for 4-6-year old’s, including organisation of coaches, communication with parents and program promotion
- Increase awareness of the Touch Football Specialised (TFS) All Abilities program and manage all aspects of its delivery
- Undertake thorough post-event reviews with key stakeholders to improve future events
- Any other duties as requested by the General Manager from time to time
ABOUT YOU
Skills & Experience
- Experience in a similar administration or events role is essential
- A proven ability to meet deadlines, multi-task and prioritise competing demands
- A high level of attention to detail
- Prior experience developing and working towards event delivery plans
- The ability to work within tight timeframes, especially leading up to and during events
- A high level of fiscal responsibility, including prior experience in setting and adhering to budgets
- Strong interpersonal and communication skills through a variety of methods including email, phone and face-to-face
- An understanding of touch football and/or community sport will be beneficial
General
- This position will ordinarily work 28 hours per week, however additional hours may be required during events or other peak times, with a time in lieu policy in effect
- Exact working hours are flexible and to be negotiated with the successful candidate
- Due to the nature of the sporting industry, some out of hours or weekend work may be required around key events
- Some travel will be required for Mustangs events held outside of Whites Hill Reserve
- Appointment to this position is dependent upon holding or obtaining a satisfactory Working with Children (Blue Card) check.
