Description

In the role of Operations Coordinator, you will contribute to the Western Clydesdales shared services department though the provision of high-level support to the Chief Executive Officer by leading and managing the coordination and development of Home match days, Events, Merchandise, Ticketing and Membership operations within the Western Clydesdales club.

Key duties and accountabilities:

Merchandise

  • Assist the CEO on the development of the annual merchandise Budget
  • Management of all Team Apparel and Merchandise requirements and orders through contracted suppliers with the final approval of the CEO
  • Coordinating the match day and event merchandise activities of the Western Clydesdales merchandise operations with a focus on increasing professionalism and revenue
  • Plan and develop merchandising strategies that balance customer expectations and Western Clydesdales objectives
  • Report sales and accurate stock levels to the CEO after all match days and events
  • Conduct and report to the CEO all end of month merchandise stock levels
  • Analyse sales figures, customer feedback and market trends to anticipate product needs and plan stock ranges and levels
  • Monitor stock movement and consider markdowns, promotions, price changes and clear outs
  • Scheduling and management of any match day/event casual staff or volunteers in the merchandise stall
  • Set-up and pack down of merchandise stall at all match days and events
  • Management of the Western Clydesdales online merchandise shop
  • Pick, Pack and Post of all online shop order
  • Review all related invoices before CEO signs off

Membership

  • Assist the CEO on the development of the annual membership Budget
  • Assist the CEO on the development of the annual membership packages and strategies
  • Report Membership sales to the CEO on a regular basis or as requested
  • Work with the CEO to create and market all membership promotion/sales plans
  • Generate new members through methods such as member referrals, outreach, community events and networking
  • Ensure memberships are being promoted at every opportunity, including external events, to keep our message front of mind to grow the membership base year on year
  • Regularly source prizes from the Football and Commercial departments to include in sales campaigns as giveaways and prizes throughout the year
  • Continually work on building partnerships with schools, junior rugby league clubs and the community that add value and provide growth opportunities across membership and ticketing
  • Handle all membership inquiries and concerns
  • Process all membership sales including the fulfilment of all membership items and requirements
  • Work with the Club’s ticketing provider to manage membership sales and card production
  • Communicate regularly with Members through newsletters via Mailchimp and email in conjunction with the CEO
  • Assist the CEO with the issue of all Sponsor/Partner membership requirements included in Agreements

Ticketing

  • Assist the CEO on the development of the annual home match day ticket sales Budget
  • Assist the CEO on the development of the annual ticket prices, packages and strategies
  • Report Match Day ticket sales to the CEO after each home match day
  • Work with the CEO to create and market all ticket promotion/sales plans
  • Create the seasonal ticket build for all home match days
  • Continually work on building partnerships with schools, junior rugby league clubs and the community that add value and provide growth opportunities across membership and ticketing
  • Handle all ticketing inquiries and concerns
  • Scheduling and management of any match day/event casual staff or volunteers in the ticket gate
  • Set-up and pack down of the home match day ticket gate and requirements
  • Work with the Club’s ticketing provider to manage ticketing platform and equipment requirements
  • Assist the CEO with the issue of all Sponsor/Partner ticketing requirements included in Agreements
  • Create and build all ticketing requirements for additional events such as Fan Days, Member events, Sponsor/Partner events, Holiday Clinics, End of Season Awards, etc
  • Review all related invoices before CEO signs off

Home Match Day Logistics

  • Secure bookings of all home match days with the relevant venues/facilities
  • In conjunction with the CEO, plan and execute all home match day themes and plans
  • Work with the relevant facility staff to ensure that the field of play is linemarked, set-up and safe for play to QRL Statewide competition standards and commercial requirements
  • With the support of the Football Operations Manager, ensure that all home and opposition team catering and other team requirements are notified early and delivered on the relevant home match day
  • Create, maintain and communicate home match day times and runsheets
  • Schedule and coordinate any rental of furniture, equipment or other items
  • Set-up and pack down of all home match day requirements and areas
  • Scheduling and management of any match day casual staff or volunteers including in the announcing box
  • Support the CEO with the planning and execution of sponsor/partner home match day spaces and activations
  • Schedule and coordinate all Ball Crew for home match days
  • Complete and submit to the CEO all casual staff and Ball Crew payment spreadsheets on the next working day after a home match
  • Review all related invoices before CEO signs off

Event Logistics

  • Secure bookings of all events with the relevant venues/facilities
  • In conjunction with the CEO, plan and execute all Club events themes and requirements
  • Work with the relevant venue staff to ensure all requirements are met
  • Create, maintain and communicate event times and runsheets
  • Schedule and coordinate any rental of furniture, equipment or other items
  • Set-up and pack down of all event requirements and areas
  • Scheduling and management of any event casual staff or volunteers including the MC
  • Ensure all requirements of guest speakers and/or VIPs are met
  • Support the CEO with the planning and execution of sponsor/partner event requirements are met or activations conducted
  • Complete and submit to the CEO all casual staff payment spreadsheets on the next working day after an event
  • Review all related invoices before CEO signs off

General Activities

  • Attend meetings as requested by the CEO
  • Maximise sales revenue at all home match days and events
  • Provide exceptional customer service and handle customer/supplier inquiries and concerns
  • Any other duties as requested by the CEO

Leadership

  • Provide leadership to the Western Clydesdales club. Develop and maintain a close working relationship and communicate with staff, Board and volunteers
  • Growing organisational capacity, including bringing to the attention of the CEO opportunities for innovation and business development

Essential Requirements
