About Pony Club Victoria
Pony Club Victoria (PCV) formed in 1954 and has grown into a dynamic youth sporting network connecting over 160 pony clubs. About the role
The Program Officer – Coaching is responsible for coordinating coach development and accreditation activities across Pony Club Victoria (PCV). Working closely with a relevant coaching committee (e.g., Chief Instructors Panel), this role supports coaches through all stages of their development and ensures alignment with Pony Club Australia's national framework. The role also provides ongoing administrative and operational support to the committee, helping to coordinate meetings, documentation, and planning as needed.
This position is suited to someone with strong working knowledge of equestrian coaching, volunteer environments, and Pony Club culture.
Duties
- Coordinate training sessions, assessment days, and workshops for coaches
- Manage coach registration, renewals, credential records, and compliance using the JustGo platform
- Liaise with PCA regarding curriculum updates and national standards
- Support gear check training and All-Abilities Program accreditation processes
- Provide ongoing operational and administrative support to relevant coaching committees
- Organise and chair meetings, manage agendas, minutes, and action follow-ups
- Respond to committee member queries and assist coordination of communications and documentation
- Collaborate with committee members on the development and distribution of coaching resources
- Build and maintain relations with aspiring and existing coaches
- Act as a contact point for coaching-related queries from clubs and zones
- Promote and maintain strong professional relationships
- Maintain a calendar of development activities visible on JustGo and social media platforms
- Contribute to the preparation of certificates, resources, and follow-up documentation
- Assist in preparing materials for meetings and workshops
- Support logistics for training sessions and events, including registrations and resource preparation
- Collect feedback from stakeholders to identify program improvements
- Contribute to cross-organisational projects where relevant to coaching and education
Skills and Experience
- Strong knowledge of equestrian coaching and accreditation pathways (Level 1 qualification desirable)
- Ability to manage deadlines, competing priorities and coaching compliance processes
- Experience working in volunteer-based or community sport settings
- High-level communication and relationship skills
- Client experience focused.
- Competence in Microsoft 365 and Canva; willingness to learn JustGo (training provided)
- Current Working with Children Check (or willingness to obtain)
- Current National Police Check (or willingness to obtain)
