About the Victorian Institute of Sport:

The Victorian Institute of Sport (VIS) was set up to assist the development of Victoria’s best athletes. It was established in 1990 by the State Government as a private trustee company, with its Board of Directors appointed by the Victorian Minister for Sport.

The VIS is located at Lakeside Stadium, Albert Park. The VIS headquarters completed a renovation in February 2023, providing a brand new workspace for athletes and staff.  It is a non-residential institute, which utilises Melbourne’s outstanding sporting facilities, to allow high performance athletes to live and train in Melbourne, the sporting capital of Australia.

The VIS operates in partnership with National Sporting Organisations and State Sporting Associations to deliver high performance daily training environments (DTEs) for sports and athletes in support of the National High Performance Sport Strategy outcomes. Our facility and staff help prepare and support future and current Olympic, Paralympic, Commonwealth Games and World Champion athletes. 

About the role:

The Para Sport Unit Coordinator & Administrative Support will communicate and develop relationships with the Director High Performance (DHP), Director Performance Health (DPH/CMO), Para Sport Unit Manager (PSUM), Discipline Leads, Performance Service Staff and external providers and personnel in National and State Sporting organisations to facilitate proactive cooperation and positive working relationships.

Responsiblities include (but not limited to):

Para Sport Unit 

  • IT needs, including presentation and Microsoft applications.
  • Operational support for DTE requirements, in line with VIS policies and procedures.
  • Provide quality coordination, operational and administrative support to the VIS Para Sport Unit.
  • Assist with implementing and maintaining processes / systems to track performance and evaluate progress; to prioritise and assign tasks, resources, and accountabilities that identify performance objectives and work towards the achievement of Para Sport Unit outcomes.
  • Collate, prepare and coordinate accurate information and data as required for internal / external communications such as briefing, memos, presentations and reports as required by the PSUM / DHP or DPH/CMO to inform decision making.
  • Record, monitor and analyse data - across the Para Sport Unit key initiatives - to provide accurate and timely information where necessary to the PSUM / DHP or DPH/CMO, to report and to help inform sport specific decision making.
  • Assist with incorporating technologies and testing methods to assess and evaluate progress of future Para athletes including contributing to Health and Safety processes and improvement quality
  • Assist the PSUM with the operation of the Dept. regarding staffing, equipment, operational scheduling, staff meetings and service delivery.

Administration Support 

  • Record, monitor and analyse data - to provide accurate and timely information where necessary to the PSUM / DHP or DPH/CMO, to report and to help inform decision making.
  • Build and maintain collaborative relationships with key internal and external stakeholders and sport program partners using an athlete-focused and coach-led approach.
  • Provide general administrative support including the coordination of day-to-day logistics, operations, and program budgets to support athletes, coaches, and performance teams (daily training environment, events, competitions, and training camps etc) as required.
  • Coordination of practitioner schedules, rosters, booking availability and Teams calendars including leave and coverage requirements, in conjunction with PHS managers.
  • Support reporting requirements including Board reports, Annual Reports,
  • Provide support in the preparation of relevant policy and document including formatting and document production
  • Provide administrative support to VIS nurse as requested.
  • Coordinate athlete reviews/screenings as required.
  • Ensure compliance with relevant policies and procedures, including equity and health & safety and exhibit good practice in relation to same

Required qualifications/ experience:

  • Experience in Sports Administration and or working within a clinical or information management administration environment with an understanding of the requirements of developing elite athletes.
  • Experience in coordinating support services, preferably in a sport related area.
  • Experience in multi-tasking and project coordination to achieve business objectives.
  • Well-developed interpersonal skills, with an ability to work in a team environment.
  • Knowledge and understanding of Australian high-performance sport and anti-doping systems
  • Knowledge of clinical and sports specific computer programs (e.g., AMS, Microsoft Teams).
  • Strong verbal and written communication skills
  • Strong computing skills with Microsoft Office & Internet applications
  • Experience in editing and preparing material for publication.
  • Experience in coordinating support services, preferably in a sport related area.
  • Current Victorian Working with Children Check (must be in place before employment commences)
  • Successful completion and currency of Level 1 & 2 Sport Integrity Australia (SIA) accreditation

Desirable qualifications/ experience:

  • Experience in developing and managing budgets
  • Tertiary qualifications in sports management, sport science, human movement or a related discipline
  • Previous experience working across a range of sports
