The Memberships Coordinator is responsible for supporting the delivery of Rugby Australia’s national membership programs across the Wallabies, Wallaroos, Sevens, and with a strong focus on the ACT Brumbies.
The role ensures all membership campaigns-including renewals and new launches-are delivered accurately, on time, and in line with brand standards. This position plays a crucial role in turning strategy into execution by coordinating marketing activity, managing member communications, and supporting data and reporting to help drive fan engagement and revenue goals across Teams in Gold and the ACT Brumbies.
Key Accountabilities
Campaign Coordination
Support the Head of Marketing & Consumer (ACT Brumbies) in planning and delivering membership campaigns from concept to renewal.
Coordinate timelines, creative briefs, and approvals for EDMs, social content, and campaign materials.
Maintain the membership marketing calendar across all assets and ensure alignment with the wider Fan Growth activity.
Liaise with internal marketing, digital, and creative teams to ensure campaigns go live accurately and on time.
Prepare and distribute regular reports on campaign performance, tracking sales, conversion, and retention.
Member Communications & Experience
Manage communications and relationships with the Brumbies membership base via outbound and inbound calls, email and in person.
Manage the coordination of RA and ACT Brumbies member communications - onboarding, renewal, match-day information, and benefits.
Support the development of member-facing content, ensuring tone, messaging, and design align with Rugby Australia and team brands.
Work with customer service and fulfilment teams to ensure member queries, packs, and entitlements are delivered to standard.
Gather feedback and insights from members to improve the overall experience and drive retention.
Maintain accuracy and consistency of membership information across websites, EDMs, and collateral.
Work with the Head of Marketing & Consumer to plan, manage and deliver Wallabies First events at/on or around Test matches, and Brumbies Member events.
Data & Reporting
Compile weekly and monthly membership reports on sales, churn, renewals, and campaign performance.
Work with the Data and Ticketing teams to reconcile membership data and identify trends or growth opportunities.
Maintain trackers and dashboards that feed into broader Fan Growth reporting.
Support analysis of acquisition and renewal campaigns to inform recommendations and test-and-learn cycles.
Operations & Collaboration
Collaborate with Marketing, Data, Creative, Ticketing, Fulfilment, and Partnerships teams to support daily membership operations.
Liaise with external vendors and agencies to deliver campaign and fulfilment requirements.
Support match day ticketing and member servicing at ACT Brumbies Super Rugby fixtures and Rugby Australia Test matches.
Assist with game-day tasks including member check-ins, premium areas, pack distribution, and general match-day support.
Ensure all campaign materials and member communications meet brand and partner guidelines.
Contribute ideas to improve membership benefits, packaging, and digital experience.
ACT Brumbies Ticketing
Assist with the public ticketing build for all Brumbies home games.
Support the delivery of ticketing operations for ACT Brumbies home matches, with a strong focus on game day execution.
Coordinate closely with the Ticketing team to ensure accurate seat allocations, member access, upgrades, and sales reporting.
Oversee game day ticket resolution processes including member upgrades, seat relocations, scanning issues, and customer enquiries.
Ensure seamless member and ticket-holder entry experience in collaboration with venue operations and access control teams.
Experience & Capabilities
Essential
1-3 years’ experience in marketing, membership, CRM or campaign coordination (sport, entertainment, travel, or consumer loyalty).
Strong organisational and project management skills - able to manage multiple campaigns and deadlines.
High attention to detail and commitment to accuracy.
Excellent written and verbal communication.
Proficiency with Microsoft Office Suite (Excel, PowerPoint, Outlook, Teams, Planner).
Data literate and confident interpreting performance reports.
Strong collaboration and interpersonal skills.
Passion for sport and fan engagement.
Desirable
Experience in a membership, ticketing, or fan engagement role in a sporting organisation.
Basic understanding of CRM systems (Salesforce, HubSpot or similar).
Experience building or coordinating EDMs and marketing materials.
Exposure to analytics or performance dashboards.
Familiarity with ticketing and CRM systems (e.g., AudienceView, Archtics, or similar) preferred but not essential.

Regular interaction with national and club marketing teams, as well as fulfilment and partnerships teams.
Some interstate travel will be required.
