The Role

We're looking for a highly capable, fiercely organised Executive Assistant to be the engine behind our CEO. This isn't a standard EA role; you'll be equal parts executive partner, event host and office leader. Working closely with our Chief of Staff & People Officer, you'll help make the CEO even more effective by anticipating needs and ensuring nothing falls through the cracks on or off the court.

You're confident with technology and quick to embrace new tools and you react with urgency when a quick turnaround is needed, pivot at a moment's notice, and bring strong interpersonal skills to every interaction, without ever losing your eye for detail or the clarity of your communication. Flexibility isn't a nice to have here; it's how the game is played.

What You'll Do

CEO & Chief of Staff Support

  • Manage the CEO's calendar, inbox, and communications with precision and discretion, anticipating needs before they're asked.
  • Partner with the Chief of Staff & People Officer on productivity systems, ensuring information flows efficiently and the CEO is always prepared and focused.
  • Draft correspondence and internal communications on behalf of the CEO.
  • Manage all travel arrangements for the CEO end-to-end; flights, accommodation, transfers, and detailed itineraries.
  • Manage the CEO's expenses; tracking, reconciling, and submitting claims accurately and on time.
  • Greet and welcome external visitors to the office, managing meeting room setup, catering, and ensuring every guest feels well looked after from the moment they arrive.
  • Assist with personal tasks and errands for the CEO as required, handled with the same discretion, efficiency, and care as every other aspect of the role.
  • Arrange and process domestic and international travel bookings, itineraries, and expense reports ensuring every trip runs smoothly and every claim is accurate and on time.

Office Management

  • Own the day-to-day running of our Melbourne head office; supplies, vendors, facilities, and everything that needs to just work.
  • Create an environment that reflects the energy and standards of our brand.
  • Ensure the office is always event-ready and that the team has what they need to do their best work.
  • Manage space planning and desk moves; develop and maintain onboarding processes and documentation to ensure every new starter has a consistent, high-quality first experience.
  • Serve as the primary point of contact with the building concierge, managing access, facilities requests, and day-to-day building communications.
  • Work with the building concierge and relevant contractors to coordinate office maintenance works, ensuring they are completed on time and with minimal disruption to the team.
  • Own and maintain the emergency management plan for NBL Group; act as the Chief Fire Warden and ensure procedures current, all staff are briefed, and that the office remains compliant at all times.
  • Manage on-site car parking for NBL Group; allocating bays, coordinating access, and resolving any parking-related queries for staff and visitors.
  • Plan and execute team events; offsites, social events, and team celebrations managing agendas, logistics, vendor coordination, and budget tracking end to end.
  • Champion and grow team traditions and creative activities that strengthen our culture and keep the energy high.

VIP Events & Hospitality

  • Manage VIP guest lists, invitations, and communications for game days, major events including HoopsFest, MVP nights, and partner activations.
  • Be the face of our brand on event days and evenings greeting VIPs, ensuring every touchpoint is exceptional.
  • Be on call for VIP guests on event days, evenings, and weekends available to handle requests, troubleshoot issues, and ensure no detail is missed.
  • Liaise with event production, venue, and operational teams to execute seamlessly.
  • Manage post-event follow-up, including thank-you communications and relationship notes.

AI & Productivity

  • Operate as an AI native; use tools like Claude daily to accelerate your own output and the CEO's.
  • Partner with the Chief of Staff & People Officer to identify, test, and embed AI-powered workflows and technology solutions that make the CEO 10x more productive.
  • Draft, research, summarise, and synthesise using AI tools fluently, not as a novelty, but as a core work practice.
  • Stay across emerging AI tools and proactively bring relevant ones to the team's attention.

About You

  • You're resourceful, fast-moving, and energised by a startup pace.
  • You bring exceptional organisational skills and a high standard of personal presentation, particularly in VIP-facing situations.
  • You're naturally warm and intuitive with people; staff, guests, talent, and partners feel genuinely looked after in your hands.
  • You're excited by AI tools and actively use them to work smarter, not just harder.
  • You exercise discretion and sound judgement without being asked.
  • You have experience managing highly confidential information with integrity and you understand the responsibility that comes with working alongside a publicly visible organisation where media interest in our business, athletes, and events is ever-present.
  • Experience in events, entertainment, sport, hospitality, or a fast-paced executive support role is highly regarded, but attitude and capability matter more than tenure.
  • Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint, and Teams); familiarity with Monday.com or similar CRM/project management platforms is a plus.
  • Confident operating audio/visual and videoconferencing equipment; able to set up and troubleshoot meeting tech without missing a beat
