About the VAFA

The Victorian Amateur Football Association (VAFA) is Australia’s largest and most progressive community football league, providing competitions for men’s, women’s, junior and representative football. An exciting opportunity exists to join the Football Operations team as the Football Administration & Operations Coordinator. This position plays a critical role in the administration and delivery of VAFA competitions, ensuring the successful operation of football programs, representative football, finals series and compliance with League Rules and Regulations. Working within a small, high-performing team, the successful applicant will assist in the planning, administration and delivery of football operations while building strong relationships with clubs, volunteers and key stakeholders. This position reports directly to the Football Operations Manager.

Key Responsibilities Competition Administration

  • Assist in the administration of VAFA competitions.
  • Assist with competition fixtures, schedules and football operations databases.
  • Respond to club enquiries relating to football operations.
  • Maintain accurate competition records and documentation.

Representative Football Operations

  • Coordinate the administration and logistics of representative football programs.
  • Assist with team selection administration and player communications.
  • Coordinate venue bookings, match documentation and football equipment.
  • Support match-day operations to ensure successful delivery.

Finals Series Operations

  • Assist in planning and delivering the VAFA Finals Series.
  • Coordinate venue preparation and operational logistics.
  • Assist with Match Day Management of finals.
  • Support ticketing and event administration.
  • Assist with Premiership Medals, Cups & Flags.
  • Liaise with clubs, venues, volunteers and suppliers to ensure successful match day delivery.

General Football Operations

  • Provide support across all Football Department projects and initiatives.
  • Provide administrative support across the Football Operations department.
  • Maintain departmental records and documentation.
  • Support league events and stakeholder engagement activities.
  • Undertake other duties as required.

Skills & Experience Essential

  • Excellent organisational skills with exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong stakeholder relationship and customer service skills.
  • High level of computer literacy, including Microsoft Office.
  • Ability to work both independently and collaboratively within a small team.
  • Flexibility to work evenings and weekends throughout the football season.

Desirable

  • Experience working within a sporting organisation.
  • Experience administering community sporting competitions.
  • Working knowledge of PlayHQ.
  • Knowledge of AFL Victoria and/or VAFA competitions and regulations.
  • Experience in event or competition management.
  • Data analysis and reporting capability.
