Purpose of the Role
The Assistant Treasurer supports the Treasurer in the administration and day-to-day financial operations of Ice Hockey Australia. The role is responsible for maintaining accurate financial records, processing transactions, and undertaking routine finance and administrative activities using Xero.
The Assistant Treasurer is not a member of the Board of Directors and is not required to attend Board or Committee meetings unless specifically requested by the Treasurer.
The role operates under the direction of the Treasurer and assists in ensuring that Ice Hockey Australia’s financial systems and records are maintained in an efficient, accurate and timely manner.
This role could suit finance students looking to get some practical, hands on experience of managing the finances for a National Sporting Organisation (NSO). Mentoring is available, we are just looking for someone with a willingness to learn, and can commit to regular time on a weekly or fortnightly basis.
Key Responsibilities
Financial Administration
- Process accounts payable and accounts receivable transactions in Xero.
- Reconcile bank accounts and credit card statements.
- Raise invoices and record incoming payments.
- Maintain accurate financial records and supporting documentation.
- Assist with month-end financial processes and reconciliations.
- Monitor outstanding invoices and follow up on overdue payments as directed.
- Assist with the preparation of financial reports and information requested by the Treasurer.
Administrative Support
- Maintain electronic finance records and filing systems.
- Support the Treasurer with routine financial administration tasks.
- Assist with the preparation of documentation for audits and compliance requirements.
- Coordinate finance-related correspondence where required.
- Ensure financial information is handled confidentially and securely.
Systems and Governance
- Use Xero in accordance with Ice Hockey Australia policies and procedures.
- Support compliance with financial delegations and internal controls.
- Escalate any financial concerns or irregularities to the Treasurer.
- Maintain confidentiality regarding financial and organisational matters.
The Assistant Treasurer:
- Has no delegated authority to approve expenditure or enter into contracts.
- Is not a member of the Board of Directors.
- Is not required to attend Board or committee meetings.
- Performs duties under the direction and supervision of the Treasurer.
Skills and Experience
Desirable qualifications and experience include:
- Experience using Xero or similar accounting software.
- Strong administrative and organisational skills.
- Basic bookkeeping or finance experience.
- High level of accuracy and attention to detail.
- Ability to manage confidential information appropriately.
Commitment
- Flexible volunteer commitment, estimated at approximately 2-5 hours per week.
- The role may require increased support during month-end processes, audit periods, and major events.
Term of Appointment
The Assistant Treasurer is appointed by, and serves at the discretion of, the Board of Ice Hockey Australia following recommendation from the Treasurer.
