Description

THE OPPORTUNITY

Basketball NSW is looking for a highly organised, discreet and proactive Executive Assistant to support our Chief Executive Officer and our Chief Financial Officer.

This is a varied role at the centre of our organisation. Around 80% of your time will be spent providing executive support: managing diaries and correspondence, preparing meetings and Board papers, and keeping both executives briefed and ahead of their commitments. The remainder is focused on the day-to-day administration that keeps Basketball NSW running, supporting our wider staff team through the administrative request process, office coordination, and records.

If you’re an experienced Executive Assistant who thrives on balancing competing priorities, takes pride in getting the details right, and knows when to raise a flag early, we want to hear from you.

ABOUT BASKETBALL NSW

Basketball NSW (BNSW) is the governing body for basketball in New South Wales, responsible for growing and developing the sport at every level, from local associations and school programs through to elite state competitions.

With over 89,000 registered members, a network of affiliated associations across the state, and ambitious plans under our 2026–2028 Strategic Framework, BNSW is in an exciting period of growth. We’re a passionate, values-driven team guided by our BLUES values, and we’re committed to making basketball accessible, inclusive, and excellent for everyone.

WHAT YOU’LL DO

Support Our Executive Team

  • Manage two executive diaries: scheduling, rescheduling, resolving clashes, and protecting time for priority work.
  • Triage executive inboxes, draft responses, and handle routine correspondence independently.
  • Prepare weekly look-aheads, meeting agendas, notes, and action lists, and follow up actions with General Managers and venue managers through to completion.
  • Coordinate meetings and briefing materials for external stakeholders, including member associations, Basketball Australia, the Office of Sport, sponsors, and partners.
  • Draft, format, and proofread letters, reports, and staff communications to Basketball NSW brand standard.
  • Coordinate travel, accommodation, and itineraries for both executives.

Support the Board

  • Coordinate the Board and committee meeting calendar, and compile and distribute Board papers within agreed timeframes.
  • Support the preparation and logistics of the Annual General Meeting.

Keep the Office Running

  • Manage staff administrative requests through the Basketball NSW admin request form, working to due dates and communicating realistic timeframes.
  • Coordinate the day-to-day running of the office, including supplies, equipment, suppliers, mail, and the general inbox.
  • Maintain organisational records, registers, and databases, with advance prompts for renewal and reporting dates.
  • Process executive credit card reconciliations, expense claims, and purchase orders, liaising with finance on queries.

Support Events and Uphold Governance

  • Provide logistical and administrative support for Basketball NSW events, functions, and game days (approximately three per season, some outside standard business hours).
  • Handle human resources, member protection, and commercially sensitive matters with complete discretion.
  • Comply with all Basketball NSW policies, including the Member Protection Policy, Child Safe Policy, and Code of Conduct.

WHAT YOU’LL BRING

  • Demonstrated experience providing executive-level administrative support.
  • Proven ability to manage competing priorities from multiple sources, and to communicate clearly when timeframes are at risk.
  • High-level written communication skills, including drafting correspondence on behalf of others.
  • Strong attention to detail and accuracy in records, data entry, and document preparation.
  • Advanced skills in Microsoft Office and Google Workspace.
  • Demonstrated discretion in handling confidential and sensitive information.
  • Familiarity with basic finance administration such as expense reconciliation and purchase orders (desirable).
  • Experience in a sporting, not-for-profit, or member-based organisation is an advantage.

REQUIREMENTS

  • Valid Working with Children Check (WWCC) or willingness to obtain prior to commencement.
  • Valid NSW Driver’s Licence.
  • Willingness to work occasional evenings and weekends to support events.
  • Right to work in Australia - Australian or New Zealand Citizen, or Australian Permanent Resident

WHY BASKETBALL NSW?

  • Be part of one of NSW’s largest and fastest-growing sport organisations.
  • A varied role working directly alongside our executive leadership.
  • Collaborative, values-driven culture guided by our BLUES values.
  • Homebush location
  • Paid parental leave, professional and personal development leave, flexibility
  • The chance to play a key part in the future of basketball in NSW.
