Under the direction of the Regional Manager, the Sport Programs Administration Officer is responsible for the efficient administration, coordination, and delivery of the organisation’s sporting programs, including high performance support services. A key focus of the role is providing administrative support to the Program Manager, coaches, and athletes to ensure smooth program operations.
Key Responsibilities
Under the guidance of the Regional Manager and Sports Development Coordinator, the SPAO’s role will ensure the effective administration of the organisation’s core activities including, but not limited to:
Administration and communications relating to athletes to ensure accurate and timely information and support to all athletes and their parents/guardians at all times.
Administration support primarily to Northern Inland Academy of Sport (NIAS) office (not excluding other offices from time to time) including managing communication on apps, emailing, word processing, data management, reporting, communicating with media outlets and other administrative duties as required with stakeholders and clients.
Work closely with the program staff, communication, and event team to ensure you are always aware of sport program schedules and upcoming events. Ensuring all athletes (and parents) are well informed of program schedules in an Academy program.
Manage the interaction of available technology to be incorporated into sport programs (e.g. Lumin, Salesforce, sports science testing) and all relevant results are reported back to coaches and athletes in a timely manner.
Support management of major events hosted within your region (e.g. Your Local Club Academy Games) to ensure network consistency and operational excellence in-line with organisational frameworks.
Maintain accurate records and contact information for all athletes both past and present, including updating Academy databases.
Work with the RAS Ltd Program Managers to provide accurate and timely program communication with scholarship athletes to ensure programs are delivered with optimum efficiency.
Work with the Program Managers to ensure that Lumin, the organisations online engagement tool, is kept up-to-date and always utilised to its full potential.
Managing evaluation surveys, feedback, and documentation.
Manage key facilities bookings and relationships for sport program training sessions and camps.
Manage accounting records and the effective redemption of Active Kids Vouchers.
Effective maintenance of Salesforces the organisations cloud-based CRM program.
Other duties that may be requested by the Executive leadership team or Regional Manager from time to time.
The Program Administration Officer’s duties will include the Academy’s events and camps coordination.
Expectations / Qualifications / Experience
Strong interest in sport.
Internet proficiency with excellent MS Word, Excel, and Outlook skills.
Well-developed written and verbal communication skills.
Effective time management and forward planning skills.
High attention to detail and ability to maintain high standards of RAS ltd.
High interest and demonstrated experience in a stakeholder’s communications role with some experience in online multimedia technologies.
An understanding and acceptance the role may bridge multiple organisations
A broad understanding of competition schedules and coaching trends and traditions across a wide range of sports.
A strong desire to keep pushing the boundaries, innovating, and driving the development of the field of strength and conditioning.
An awareness of the essential need to be a ‘Child Safe’ sporting organisation.
An excellent and timely communicator, able to self-manage effectively to complete tasks on time to a high standard and work effectively under pressure. Highly driven to continually drive standards of yourself and those around you.
