About the role

Reporting to the Executive Assistant, the Guest Services & Operations Coordinator plays a vital role in delivering an exceptional front-of-house experience and ensuring the smooth daily operations of our new Centre of Excellence and broader Club facilities.

This role is the first point of contact for visitors, partners, staff and stakeholders and is responsible for maintaining high presentation standards, coordinating office and facility operations, supporting site bookings, and assisting with game day and event activities. Key Responsibilities

Front of House & Reception

  • Provide a warm, professional welcome to all visitors, clients and staff.
  • Manage incoming calls, emails and general enquiries.
  • Maintain the presentation of the reception area, vault and merchandise store.
  • Oversee visitor access, sign-ins and compliance with entry protocols.
  • Manage incoming/outgoing mail, deliveries and courier arrangements.

Office & Administrative Support

  • Maintain the office manual, staff cleaning roster and general office procedures.
  • Monitor and order office supplies as required.
  • Coordinate meeting room bookings, room set-ups and catering requests.
  • Provide administrative support across teams (printing, correspondence, laminating, ticketing).
  • Log and escalate security, safety or facility incidents.
  • Liaise with Facilities Management and coordinate contractors or services as needed.

Site Management

  • Manage site bookings, hire requests and related documentation.
  • Conduct site inductions for staff, contractors and visitors.
  • Maintain the approved contractor listing.
  • Support maintenance requests, contractor coordination and general site operations.
  • Ensure site presentation, safety and access standards are upheld at all times.

Merchandise & Customer Service

  • Process merchandise store sales and enquiries.
  • Provide high-quality customer service, including support to the Consumer team.

Event & Game Day Support

  • Assist with game day operations including parking, accreditation, ticketing, printing and general staff support.
  • Provide operational support for internal events, meetings and stakeholder visits.

Qualifications, Experience & Attributes

Education & Experience

  • Experience in administration, front-of-house, customer service or facilities coordination, ideally within a corporate, sports, hospitality or community environment.
  • Strong interpersonal and communication skills, with the ability to engage confidently with a diverse range of people.
  • Excellent organisational and time-management capability, with strong attention to detail.
  • Demonstrated initiative, problem-solving skills and a proactive service-oriented approach.
  • Proficiency in Microsoft Office, with confidence using digital systems or booking platforms.
  • Ability to work both independently and collaboratively within a team.
  • A positive, professional and welcoming demeanour with strong presentation standards.
  • Willingness to work occasional evenings, weekends and event days as required.
  • An interest in rugby league is not essential but is advantageous.
