We are looking for an Operations & Administration Manager who can take ownership of the systems, communication and coordination that keep our centre running smoothly.
About the Role
The Operations & Administration Manager is responsible for the smooth day-to-day administration and operational coordination of Strive Gymnastics.
This role is the central point of connection between families, coaches, Duty Managers, the Technical Director, the Competition Coordinator and the Managing Director.
You will manage parent enquiries, enrolments, memberships, customer portal updates, athlete records, medical information, attendance tracking, accounts receivable follow-up, HR administration, staff compliance documentation, daily handovers and fortnightly roster coordination.
You will also coordinate approved coach fill-ins when coaches are sick, unavailable or need to change shifts.
This role does not require you to make technical gymnastics decisions. Coaching standards, athlete progression and program decisions remain with the Technical Director. Your role is to ensure the operational systems, communication and coordination are clear, accurate and consistent
Key Responsibilities
In this role, you will:
- Manage general emails, parent enquiries and day-to-day administration.
- Oversee enrolments, memberships, transfers, cancellations and waitlists.
- Maintain accurate customer records, athlete records and family account information.
- Manage customer portal updates and assist families with system access.
- Track attendance, absences and class movements.
- Maintain athlete medical information and ensure relevant updates are communicated appropriately.
- Support injury follow-up administration and family communication where required.
- Support accounts receivable processes, including payment follow-up and invoicing queries.
- Manage HR administration, onboarding paperwork and staff compliance tracking.
- Track Working With Children Checks, first aid certificates, qualifications and staff documentation.
- Coordinate the fortnightly coaching roster.
- Manage coach sick calls, cancellations and approved fill-ins.
- Communicate roster changes to coaches and Duty Managers.
- Provide daily handover information to the Duty Manager before shift commencement.
- Communicate regularly with the Technical Director and Competition Coordinator.
- Support operational compliance, documentation and process improvement.
- Provide updates to the Managing Director on enrolments, outstanding payments, roster gaps, parent issues and administration concerns.
