Organisational Context
The SPBA is the largest not-for-profit sporting organisation on the Mornington Peninsula. Our objective is to administer the sport of basketball from Mornington to Sorrento. Providing an avenue for its players, coaches, officials and administrators to participate and develop through organised competitions and development programs.
SPBA represents our members of all skill levels, abilities and ages. We provide a range of services, including competitions, development programs, high performance programs and further development opportunities for our players, coaches, referees, administrators and volunteers. Purpose
The Pathways Administrator plays a critical role in delivering and supporting SPBA's player and coach development pathways across representative and community streams. This position oversees the administration of Junior and Senior Representative programs and coordinates development and community engagement programs.
Working with the Basketball Operations Manager and department staff, the Pathways Administrator ensures the smooth operation, promotion, and growth of SPBA programs, helping to maintain a community-first culture while strengthening pathways into representative and high-performance opportunities. The role actively supports SPBA's focus on inclusion, participation growth, and delivering a quality basketball experience for all members.
Key Responsibilities
Representative Program (60%)
- Manage all administrative aspects of Junior & Senior Sharks programs including but not limited to:
- Registrations
- Communications
- Weekly administration
- Point of contact for Team Managers & League
- International player requirements.
- Ensure compliance requirements are met.
- Coordinate and support uniform requirements with the Retail Administrator.
- Support Head of Basketball with player/staff contracts and communications.
- Organise and grow Senior Representative game day experience engaging the community.
Key Performance Indicators:
- 90% of player registration payments made by due dates / plans in place for late payments.
- 100% compliance with league requirements completed on time.
- Performance of Game Day Staff and resolution of issues.
Development Programs (25%)
- Coordinate administration and delivery of:
- Development programs (including Aussie Hoops, Baby Sharks, Rising Sharks, Sharks Development Program and Sharks Select, Holiday Camps, Come & Try Days).
- Shooting machine and casual shooting bookings.
- Inclusion initiatives (All Abilities, Walking Basketball, Indigenous programs).
- School academy programs.
- Promotion of programs in the community.
Key Performance Indicators:
- Participation growth in programs by 6% annually.
- Four female only programs delivered per year.
- At least one inclusion session run quarterly.
School Engagement (15%)
- Develop and maintain relationships with local schools to increase basketball participation and visibility.
- Coordinate delivery of Sporting Schools programs and School Academy initiatives.
- Promote SPBA programs and competitions to school communities.
- Identify opportunities for player and coach recruitment through school programs.
Key Performance Indicators
General
- Provide support role in the lead up to and during our annual tournaments.
- Analyse and provide recommendations to the Basketball Operations Manager, where relevant, of changes to the SPBA operations.
- Ability to be present during competition and program operation times at times as required to support operations such as monitoring and evaluating the operations and training.
- Timely response to enquiries by members in relation to departments.
- Ensure that all facilities are safe to use. In situations that they are not, take necessary actions to ensure they are. Ensure game day staff are also adhering to their responsibility in this area.
Key Performance Indictors
- 100% compliance with Child Safeguarding Policy.
- Maintain "inbox near zero": 90% of emails answered =2 business days, 100% =5 business days during season.
- Department income/expense within 5% of approved budget.

Selection Criteria
All offers of employment are subject to satisfactory proof of eligibility to work in Australia, reference checks and a Working with Children Check. All applicants must have a current Victorian Driver's License. The role includes some local travel and occasional travel across the state, as well as occasional evening and weekend work.

- Organisational & Time Management: Demonstrated ability to plan, prioritise, and deliver multiple programs or projects simultaneously in a busy sporting environment.
- Communication & Relationship Building: Highly developed interpersonal and written communication skills, with the ability to engage effectively with players, coaches, referees, volunteers, schools, parents, and community partners.
- Administration & Systems: Strong administrative skills with confidence using Microsoft Office and administration platforms (e.g., PlayHQ & Monday.com), and the ability to quickly learn new systems.
- Inclusion & Community Focus: Demonstrated commitment to equity, inclusion, and diversity, ensuring programs are accessible to people of all ages, abilities, and cultural backgrounds.

- Education & Experience: Tertiary qualification in Sports Management, Education, Project Management, or a related field, and/or significant experience in community sport administration.
- Basketball Knowledge: Understanding of basketball development pathways, competitions, and the broader Australian sporting landscape.
- Program Development & Analysis: Experience analysing program data, identifying trends, and making evidence-based recommendations for improvement.
- Community Engagement & Schools: Experience working with schools, community groups, or sporting clubs to deliver programs and increase participation.
- Event Support: Experience assisting with game-day operations, tournaments, or large-scale sporting events.
