LOCATION: Moore Park, Sydney, NSW (with some travel requirements)

REPORTS TO: Chief Legal Officer & Company Secretary, with dotted lines to other Legal & Integrity team members

EMPLOYMENT STATUS: TBC, i.e. permanent full-time, permanent part-time, and casual are to be considered for the right candidate

PURPOSE

Rugby Australia (Rugby AU) is the national governing body for rugby in Australia, recognised as a funded national sporting organisation by the Australian Sports Commission (ASC). The Rugby AU Legal & Integrity team aims to enable Rugby AU to achieve its objectives across 4 key strategic pillars: resource & ecosystem efficiency, performance excellence, participation growth, and promotion effectiveness.

The key purpose of this role is to provide hands-on paralegal support to the Legal & Integrity team across both substantive legal and integrity matters and day-to-day operations. This includes supporting the delivery of integrity programs, maintaining compliance systems, coordinating regulatory processes, and ensuring the smooth running of the legal & integrity function through effective administration.

This is an ideal opportunity for a law student or experienced paralegal seeking to build a career in sports law and governance. You will gain genuine exposure to a broad range of legal and integrity matters while working alongside experienced professionals in a dynamic sporting environment as Australia prepares to host the 2027 and 2029 Rugby World Cups.

KEY ACCOUNTABILITIES

Integrity Program Support

To ensure that rugby in Australia maintains the highest standards of integrity and ethical conduct at all levels of the game, support the Head of Integrity & Legal Counsel – Community with:

  1. updating policies and programs as required to ensure compliance and alignment with applicable laws, the National Integrity Framework (where applicable), World Rugby Regulations and stakeholder agreements including consultation requirements with the Rugby Union Players’ Association (RUPA);
  2. managing quarterly World Rugby Whereabouts submissions;
  3. managing weekly professional team schedule submissions;
  4. administering the Learning Management System for integrity education, including updating course content annually;
  5. producing and updating education materials for face-to-face sessions in Community and High-Performance;
  6. maintaining template documents in line with code and policy updates and other regulatory developments;
  7. coordinating the appointment of Judicial Officers and Citing Commissioners including managing expressions of interest, processing applications, confirming appointments, match day communications, and coordinating and confirming hearings;
  8. providing administrative support for the Players Agent Accreditation Scheme including creating modules and maintaining templates;
  9. providing administrative support for Community integrity matters including allocating reports received in the Core+ Platform and opening and allocating cases in Salesforce;
  10. developing and maintaining Salesforce processes including step-by-step checklists for entering and assessing complaints;
  11. preparing the annual Community case reporting analysis;
  12. maintaining Player Contracting spreadsheet with weekly updates;
  13. administering Rugby AU’s Product Fee and Integrity Agreements (PFIAs) and any renewals with licensed Australian betting operators and Rugby AU’s due diligence process as and when required for new operators;
  14. preparing the annual betting audit report to provide to Betting Operators; and
  15. coordinating the collection and verification of Working With Children Checks (or equivalent) for pathways competitions.

Corporate Governance & General Admin Support

To ensure that Rugby AU maintains the highest standards of governance in accordance with the ASC’s Sport Governance Standards, support the Chief Legal Officer & Company Secretary and other Legal & Integrity team members with:

  1. preparing and uploading of Board Papers to the Board Management system;
  2. preparing Board Minutes and maintaining the Action Items register;
  3. managing any necessary ASIC filings and corporate compliance requirements;
  4. responding to requests for information from stakeholders, auditors and regulatory authorities;
  5. processing travel bookings;
  6. processing purchase orders and invoices;
  7. liaising with the Executive Assistant for the CEO and Board regarding the annual Board calendar and scheduling of meetings; and
  8. delivery of the Annual General meeting.

Commercial Legal Support

To ensure that Rugby AU achieves its commercial objectives across key strategic pillars, support all Legal & Integrity team members with:

  1. facilitating contract approvals and execution processes;
  2. maintaining the contracts register to ensure accurate and up-to-date records;
  3. maintaining the trade mark register for the Rugby AU group of companies;
  4. maintaining online files including template library;
  5. reviewing and preparing certain contracts for various internal clients; and
  6. reviewing and preparing terms and conditions for trade promotions conducted by the Rugby AU group of companies.

CAPABILITIES, EXPERIENCE & QUALIFICATION REQUIREMENTS

Required

  • Undertaking or recently completed tertiary studies in law or another relevant discipline such as investigations, governance or sports administration
  • Working with Children Check

  • Strong written and verbal communication skills
  • Excellent attention to detail
  • Excellent time management skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • An ability to work autonomously as part of a small in-house legal team

  • Ability to maintain the appropriate level of confidentiality when dealing with a wide range of issues and stakeholders
  • Ability to work both independently and collaboratively, managing competing priorities effectively
  • Strong analytical and problem-solving capabilities

Desired

  • Previous administrative, paralegal or legal and/or integrity support experience (including internships or clerkships)
  • Previous experience in company secretarial and/or corporate governance support
  • Interest in sports law and related matters
  • Interest in rugby or sport generally
  • Understanding of regulatory requirements including World Rugby Regulations
  • Experience with document management or matter management systems
  • Experience with Salesforce or similar CRM platforms
  • Experience with board management systems
